1. Our Role

Titan OS acts as a data processor for the schools and organisations that deploy it. Schools are the data controllers and primary collectors of personal information.

This means the school determines what data is collected and why. Titan OS processes that data on the school's behalf to provide the wellbeing monitoring service.

2. What Data We Handle

Titan OS handles the following data on behalf of schools:

  • Health Information: Sleep hours and quality, physical soreness ratings, self-reported mood, and training load. These are classified as health information as defined in s 6 of the Privacy Act 1988 (Cth) because they concern the physical or mental health of individuals.
  • Account Information: Email address, name, and authentication credentials.
  • Physical Data: Height, weight, wingspan, and other biometric measurements provided during onboarding.
  • Usage Data: Pages visited, features used, and interaction patterns within the platform.
  • Device Data: Browser type, operating system, and IP address for security purposes.

3. How We Use Your Data

We use data only to provide the wellbeing monitoring service to the contracting school:

  • Calculating readiness scores, training loads, and performance analytics.
  • Generating intelligence briefs for coaching staff to support duty-of-care decisions.
  • Enabling coach–athlete communication and team management features.
  • Maintaining platform security, preventing fraud, and enforcing our terms.
  • Complying with legal obligations under Australian law.

We do not use or disclose health information for any purpose other than providing the wellbeing monitoring service to the contracting school, unless required by law.

4. Australian Privacy Principles

Titan OS operates in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth), including:

  • APP 6 — Use and Disclosure: Health information is used and disclosed only for the primary purpose of providing the wellbeing monitoring service, or as required by law.
  • APP 11 — Security: We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure.
  • Notifiable Data Breaches Scheme: In the event of an eligible data breach, we will notify affected individuals and the Office of the Australian Information Commissioner in accordance with Part IIIC of the Privacy Act.

5. Storage and Security

  • Data is stored on secure cloud infrastructure.
  • All data is encrypted at rest and in transit.
  • Access is controlled through role-based permissions and regular security reviews.
  • We do not sell your personal information to third parties.

6. Who Can Access Your Data

Access to your data is strictly controlled:

  • You: Full access to all your personal data via the platform.
  • Authorised School Staff: Coaches and administrators within your assigned organisation can view your data for coaching and duty-of-care purposes.
  • Platform Provider: Limited access as a data processor for platform maintenance and support, subject to strict access controls.

7. Data Retention

Data is retained for the duration of the school's active use of the platform. Upon contract termination, data will be securely deleted within 60 days unless the school instructs otherwise.

If you request individual account deletion, your personal data will be removed within 30 days, except where retention is required by law.

8. Minors

Titan OS is used by student athletes who may be under 18. We take additional care with minors' data in accordance with APP 1.4 and 5.2. Parental or guardian consent is required for students under 15. Schools deploying Titan OS for student athletes are responsible for obtaining appropriate consent.

9. How to Access, Correct, or Delete Data

Under the Australian Privacy Principles, you have the right to access, correct, or request deletion of your personal information.

To exercise these rights:

  • Contact your school first — as the data controller, the school can action most requests directly.
  • Contact the platform provider — for requests the school cannot resolve, email support@titanosapp.com.

10. Complaints

If you wish to make a complaint about how personal information has been handled:

  • Contact your school's privacy officer in the first instance.

11. Changes to This Policy

We may update this privacy policy from time to time. The latest version will always be posted on this page. We encourage you to review this page periodically.
